Sworn Translation of Employment Documents for Spain

Do you need a sworn translation of an employment contract, payslip, certificate of employment or employer letter for use in Spain? I am Sergio Boix Mira, Spanish Sworn Translator of English No. 4473, appointed by Spain’s Ministry of Foreign Affairs. I translate employment documents written in English or Spanish, regardless of the country in which they were issued.

The service focuses on the employment relationship: the contract, position, duties, salary, length of service, working conditions and proof of employment or professional experience. The translation faithfully reflects the document. It is not employment, tax, immigration or legal advice and does not determine the requirements of a particular procedure.

Employment documents I can translate

Depending on the procedure, language and receiving organisation, a sworn translation may be required. Examples include:

  • Employment contracts and contracts of employment.
  • Employer letters and HR letters.
  • Certificates of employment and Spanish employer certificates.
  • Proof of employment.
  • Payslips, payroll records and salary statements.
  • Appointment letters and job offer letters.
  • Certificates confirming salary, length of service or professional experience.
  • Employment confirmation letters and employment references.
  • Documents concerning working conditions, hours and probation periods.
  • Documents concerning resignation, dismissal, notice, termination or redundancy, where relevant.
  • Employment documents used for visas, residence, job applications, studies or administrative procedures.

This list gives examples of documents I can translate. It does not mean that every document requires a sworn translation or that these are universal requirements.

Employment contracts

I translate permanent and fixed-term employment contracts, full-time and part-time contracts, and closely related employment documents. A translation may cover the employer and employee, job title, position, duties, commencement date, probation period, working hours, gross or net salary, notice and termination date.

Spanish, British and US employment systems are not automatically equivalent. Terms such as permanent contract, fixed-term contract, dismissal, redundancy and notice are translated according to the document and context, without assigning legal effects that do not appear in the source. This page does not cover commercial, corporate, property or general contracts unrelated to employment.

Payslips, payroll and salary statements

I translate Spanish payslips, UK or Irish payslips and salary statements. They may show gross salary, net salary, salary components, deductions, tax, National Insurance where relevant, pension contributions and other payroll information.

The translation records the information in the document without interpreting the person’s tax or social security position. A P45 or P60 may form part of an employment file, but its main treatment as a tax document belongs in a separate tax-document service.

Certificates of employment and employer letters

I translate certificates of employment, proof of employment, employer letters, HR documents, job offers, appointment letters, references and certificates of professional experience. These documents may confirm a job title, duties, length of service, commencement or termination dates, salary and other conditions stated by the employer.

I can also translate letters concerning resignation, dismissal, redundancy or another form of termination. The translation follows the wording of the source and does not provide a legal classification of the relationship or the reason for termination.

UK, US and other international employment documents

I translate employment contracts, payslips, certificates and employer letters written in English and issued in the United Kingdom, United States, Ireland, Canada, Australia or elsewhere. These countries are examples rather than limits: I work with documents written in English or Spanish regardless of the country of issue.

Terminology is handled in its documentary context. I do not assume that an employment contract, employment reference or redundancy document has an exact legal equivalent in Spain.

Spanish employment documents translated into English

I translate Spanish employment contracts, payslips, employer certificates, employer letters, certificates of experience and HR documents into English. They may be required by employers, universities, banks, landlords, public authorities or other organisations abroad.

For use outside Spain, requirements should be checked in advance with the receiving institution or authority, including the accepted format and any additional formality.

Common uses

A sworn translation of employment documents may be requested, depending on the case, for:

  • Visa or residence applications.
  • Job applications and recruitment procedures.
  • Proof of professional experience or length of service.
  • Universities, recognition procedures or training programmes, where relevant.
  • Administrative or court proceedings.
  • Submission to public authorities or overseas employers.
  • Proof of employment requested by banks, landlords or finance providers.

Not every procedure requires a sworn translation. If the main purpose is immigration, see the pages for Spain’s Non-Lucrative Visa and Digital Nomad Visa.

How this differs from pensions, banking and other services

This page covers documents proving an employment relationship, its conditions or professional experience. For pensions, benefits or social security contributions, see pensions and social security document translation. For bank statements and bank certificates, see banking and financial document translation. For degrees, diplomas and academic transcripts, see academic and education document translation.

References to P45, P60, tax or contributions are limited to information that may appear within an employment file. They do not turn this page into a tax-translation service.

Confidentiality and sending documents

Employment documents often contain personal and salary information. They are treated confidentially and used only to assess and complete the requested assignment. You can send a PDF, scan or clear photograph so I can prepare a quote.

All pages, stamps, signatures and relevant annotations should be legible. Sending a copy does not mean that the same format will be accepted for the final procedure; the receiving organisation decides what document and format it requires.

Apostille and legalisation

A sworn translation and an apostille or legalisation serve different purposes. Employment documents do not always need an apostille. The requirement depends on the document, country, procedure and receiving organisation. Check the specific requirements before commissioning the translation.

How the service works

  1. Send the document: share a legible copy by email or WhatsApp and, if known, state the country and intended recipient.
  2. Quote and timescale: I review the file and confirm the price, expected date and delivery format before starting.
  3. Sworn translation: I prepare a faithful translation of the document and its certification.
  4. Delivery: you receive the work in the agreed format. Urgent service may be available where length and availability permit.
