Sworn Translation of Pensions & Social Security Documents for Spain

I provide sworn translations into Spanish of pension, social security and retirement-related documents written in English, regardless of the country in which they were issued. I also translate Spanish pension and social security documents into English when required. The service is provided directly by Sergio Boix Mira, Spanish Sworn Translator-Interpreter of English No. 4473, appointed by the Spanish Ministry of Foreign Affairs. I work online with clients in Spain and abroad.

Requirements depend on the authority, institution or professional handling your procedure. Send a clear copy for a quote and tell me where the translation will be presented.

Pension and social security documents I translate

Pension and retirement files may include correspondence from public bodies, pension schemes, insurers, employers, tax authorities and banks. Depending on your documents, I can prepare a quote for:

This is an indicative list, not a list of requirements for every case. Foreign institutions and benefits do not automatically correspond to Spanish authorities or legal categories. I translate the issuing body’s name and the document’s terminology in context.

UK pension and social security documents

UK pension files may include State Pension correspondence, benefit letters and records from different organisations. The Department for Work and Pensions (DWP), His Majesty’s Revenue and Customs (HMRC) and the NHS Pension Scheme are distinct; identifying the issuing organisation helps keep the translation accurate.

Documents may include DWP letters about State Pension, Pension Credit or Attendance Allowance; HMRC or PAYE records; P60 and P45 forms; NHS Pension Scheme Annual Benefit Statements (ABS) or Total Reward Statements (TRS); and statements from private or workplace pension providers. A P60 and a P45 are employment tax records with different purposes, rather than DWP pension award letters. I retain official names such as Pension Credit, Attendance Allowance and NHS Pension Scheme where appropriate.

For official information, see GOV.UK guidance on proof of benefits and State Pension, its P45 and P60 guidance, and the NHS Business Services Authority’s information about NHS Pension Scheme statements.

US Social Security and Medicare documents

US files may contain letters from the Social Security Administration (SSA), including correspondence about retirement, survivors’ or disability benefits under Retirement, Survivors and Disability Insurance. They may also include a Benefit Verification Letter, SSA-1099 or SSA-1042S, notices, benefit amounts, dates and BNC references. The SSA is a US institution; its documents are translated according to their content and are not treated as automatic equivalents of Spanish social security decisions.

Medicare is a separate US programme. Documents may relate to Medicare Part A, Medicare Part B, enrolment, coverage, premiums or premium reimbursement. I preserve the programme’s official terminology and distinguish it from SSA correspondence. The receiving organisation can confirm which documents and formalities it requires.

See the SSA’s information about benefit verification letters and the Centers for Medicare & Medicaid Services’ Medicare overview.

Pension documents issued in other countries

I translate pension and social security documents written in English regardless of the country in which they were issued. Documents may come from Ireland, Canada, Australia, New Zealand, Norway, Denmark, Barbados, South Africa, the Philippines or another jurisdiction. These are examples, not limits on the service. The issuing country and, where relevant, state or territory help me assess the document and prepare an accurate quote.

Spanish pension and social security documents translated into English

When required, I also translate Spanish pension documents into English. These may include documents from the Instituto Nacional de la Seguridad Social (INSS) or Tesorería General de la Seguridad Social (TGSS), Spanish pension certificates, retirement benefit letters, contribution records, proof of pension income, benefit decisions and official social security certificates.

Requirements depend on the authority, institution or professional receiving the translation. A sworn translation issued in Spain does not guarantee acceptance in every country or procedure. Please confirm the required format and any additional formalities with the recipient before ordering.

Pension documents used as proof of income or residence

An application may ask for pension statements, benefit letters, annual tax statements, bank statements or an income certificate. Whether a particular document is suitable as proof of income or residence depends on the purpose and the organisation reviewing it. I translate the documents you provide; the receiving authority decides what it will accept.

Tax documents linked to pension income

A pension file may include P60 or P45 forms, HMRC correspondence, annual pension statements, withholding information or tax certificates. I can translate these as part of a pension-related file. This service concerns tax documents connected with pension income, rather than general tax returns or tax advice.

Bank documents connected with pension income

Supporting evidence may include bank statements, payment records, deposit records or proof of pension payments. Requirements vary between applications, so ask the recipient whether these records are needed and which period they must cover.

Do pension or social security documents need an apostille?

There is no single answer for every pension file. Requirements may depend on the country of issue, type of document, purpose, procedure and receiving authority. An apostille or other legalisation, where required, is separate from a sworn translation; the translation does not replace it. Check the formalities with the authority or professional receiving your documents.

You can consult the Hague Apostille Convention and the Spanish Ministry’s information on Sworn Translators-Interpreters.

Digital pension and social security documents

For a quote, you can send a clear PDF, scan or digital copy of all relevant pages, including notes, attachments and any apostille already issued. A digital copy is suitable for an initial review; the receiving authority may have separate rules about originals, certified copies or the format of the final submission.

How it works

  1. Send your documents. Send a clear PDF or scan of all relevant pages and tell me where the translation will be presented.
  2. Receive your quote. I review the documents and confirm the price, delivery time and required format before work begins.
  3. Receive your sworn translation. I deliver the completed translation in the agreed format.

Frequently asked questions

Do I need a sworn translation of my pension documents for Spain?

Can you translate DWP pension letters into Spanish?

Yes. I can prepare a quote for DWP correspondence, including letters relating to State Pension or benefits. The translation reflects the document and its context; it does not determine eligibility or replace a decision by the issuing or receiving authority.

Yes. I can quote for P60 and P45 forms, including their tax and employment details. Whether they are relevant to your pension or application depends on the recipient’s requirements.

Can you translate Spanish pension documents into English?

Yes, when an English translation is required. Acceptance and formalities depend on the authority, institution or professional receiving the translation, so please check their requirements first.

Not always. It depends on the country of issue, document, purpose, procedure and receiving authority. An apostille and a sworn translation have different functions; check the formalities with the recipient.
